Administration web cash register
Introduction
In these instructions you will learn in detail which configurations you can make in the administration under “Web cash register”.
Analysis page
Where: “Administration” → “Web cash register”
Here you will find an overview of your sales and make your daily accounts.
Display filter
Here you can filter your sales by time period and employees/cash register users. If you do not set a filter, the sales since the last daily closing and all employees are automatically displayed.
Daily closing
Here you carry out a daily closing. You can select the date up to which the daily closing should be carried out. Proceed as follows:
- Select the date up to which the daily closing is to be carried out.
- Click on “Close”.
- A message appears: “All orders since the last daily closing are marked as completed and can no longer be changed.”
- If you agree with this, click “Ok”.
Last daily closing
Here you can view the last daily closing. Simply click on the date of the desired daily closing.
If you click on the statistics symbol, you will be taken to the detailed evaluation and can analyse your daily closings in more detail.
Sales
Here you can see the last sales since the daily closing. If you have set a display filter, all sales in this period are displayed. You can print your selection or export it as a table. To do this, click on the printer or table symbol. If you click on the eye symbol, you can view the details of the purchase.
Completion
Here you can see which payment methods have been used, the amount received for each payment method and the total amount received. Either since the last daily closing or, if you have set a display filter, in the selected period.
Web cash register configuration
Where: “Administration” → “Web cash register” → “Web cash register configuration”
Here you can make a variety of configurations to the web cash register. If you make changes, do not forget to save them at the bottom. To see the changes in the cash register, you must reload the page.
General configuration
We will explain the individual setting points to you:
- Web checkout activation: Tick the checkbox here. This is needed if you want to switch the checkout on/off as a webshop module.
- Cash register type: Here you can see which PepperShop POS subscription you are currently using.
- Payment methods:
- Cash payment: You can activate or deactivate the “Cash payment” payment method in the web checkout here.
- Payment terminal directly connected to PepperShop: If your payment terminal is directly connected to PepperShop, you do not need to select anything else here. PepperShop automatically recognises which payment method was used to pay via the terminal.
- No payment terminal or payment terminal not connected: If you are using a payment terminal but have not connected it to PepperShop, or if you are using a twint code for example, you can select your offered payment methods here. This allows you to manually select the customer’s payment method in the web checkout and confirm the payment. This allows you to keep track of all payments and payment methods.
- Payment by invoice: To activate a customer for “Payment by invoice”, click on “Customers/Orders” → “Customer management” in the administration and edit the desired customer. Select “Yes” for “Invoice delivery”. The payment method appears automatically in the web checkout if the customer is logged in.
- Products: Allow overbooking of stock: Only relevant if warehouse management is activated (“Products” → “Stock management” → “Stock management switched on”)
- If deactivated (no tick): Items that have a stock count of 0 are not displayed in the checkout. If the number of items in the cash register exceeds the number of items in stock, an error message pops up.
- If activated (ticked): Items with a stock count of 0 are displayed in the checkout. If more items are sold than the stock count, the stock count goes into the minus range.
- Item: Consider active from-to: You can assign an end date to an item in item management. It will no longer be displayed in the online shop once the date has expired. In the web checkout, the articles are still displayed by default even though this date has expired. By ticking this box, the active from-to dates are taken into account and the items are no longer displayed.
- Products: Sorting method: Here you can choose between sorting by item name and item number.
- Convert repayment into basic currency: If a customer wants to pay in a foreign currency, the change is displayed in the base currency.
- Standard article display: Select whether the items in the web cash register are displayed in a single column (as a list, one below the other) or in multiple columns (as tiles). Can also be changed in the web cash register itself at the top centre of the list / tile symbol.
- Display change after sale: Should the amount of change be displayed after the sale?
- Allow deletion of sales: Sales can be deleted.
- Allow daily closings in web cash register: With this tick, the daily closing can be carried out directly from the web cash register.
- Number of articles per page: How many items should be displayed per page in the checkout?
- Show favourites: Should the favourites be displayed?
- Allow login with PIN: The checkout users can log in via PIN.
- Show representation on paused purchases: Should the checkout user representation be displayed on paused purchases?
- Allow partial payment: Allow your customers to pay partly with cash and partly cashless. If activated, you can enter the partial amount in the payment window and click on “Partial payment” at the bottom. The remaining amount to be paid is now displayed.
- Manually changed prices are final: If the price has been changed manually in the checkout, then no line discounts etc. will be applied to it.
- Highlight line if price is 0: If an item has a monetary amount of 0, it will be highlighted in colour.
- Show favorites: Show or hide the display of favourites at the top as a tab and with the items.
- Display article details: You can show or hide the item details (i symbol).
- Show blocked customers: Deactivated: Blocked customers are not displayed. Activated: Blocked customers are displayed with the note “BLOCKED”. If the customer is selected anyway, a further message appears. (The purchase can be carried out despite the block).
- Master PIN: If Master PIN is selected, this must be entered for credit notes and cancellations.
- Email to customer: If the customer’s email address is stored, they will receive a confirmation email after a successful purchase.
- CC to representing seller: The cashier receives a confirmation by email with every sale.
- Send only if no paper receipt is desired: Only if printing of paper receipt is rejected (“Should a receipt be printed?” → “No”) a purchase confirmation is sent by mail.
- Query missing email: If no email is stored, the pop-up “To which email address should the receipt be sent?” appears and you can enter the customer’s email.
Shopping cart buttons
Here you can define which two actions you would like to use at the bottom right of the web checkout (see image below). All actions that are not selected can still be used via the “More” button. It makes sense to assign the buttons with the actions that you use most regularly and can therefore always execute quickly.
Explanation of Actions
- Reset Order: Clear the contents of the shopping cart.
- Discount: Apply a discount to the entire shopping cart.
- Free Position: Free positions are items that have not (yet) been recorded and can be sold directly without recording them in the administration.
- Change: Display the last change amount.
- Print shopping cart content: The cart contents are summarized in a PDF.
- Paused Purchases: Display paused purchases.
- Cash Drawer: Opens the cash drawer when connected to PepperShop.
- Lock cash register: The register is locked and requires a PIN code or a re-login for reuse.
- Partial Payment: Allows partial payment of the cart amount.
Configuration of till receipt
Here you can customize the receipt. We explain the individual configuration points:
- Always enable SSL: This checkbox should be enabled if the printer certificate is installed.
- Always print till receipt: Decide whether the receipt should always be printed or only on request.
- Always print terminal receipt: Decide whether the terminal receipt (credit card receipt) should always be printed or only on request.
- Logo on till receipt: Upload your logo for the receipt here. Click “Select File” and choose your logo.
- Customer on cash voucher: If the customer is logged into the register, they can be displayed on the receipt.
- Cash voucher code: Automatically add a code to the receipt to help the seller identify the purchase. Choose between QR code, barcode, or none. This feature is only available with an EPSON printer. If you have another or no printer, select “None”.
- Closing text on till receipt: The text “Thank you for your purchase…" on the receipt can be customized.
- Cashier on till receipt: Configure how the cashier is displayed on the receipt and customize the text.
- Signature field for minus amounts on receipt: If there are negative amounts, they will be supplemented with a signature field.
- Administration A4 PDF print receipt: Save a template for printing the receipt via an A4 printer.
Cash desk administration
Here you manage your cash register hardware, especially your receipt printer. We explain the individual configuration points:
- Name: A meaningful name helps in selecting the printer in the register interface, especially if multiple registers exist.
- Output via: Choose the type of printer/print format. Options include A4 PDF printing, 78mm PDF printing, Epson receipt printer, or PayTec terminal.
- Printer identification: The IP address through which the printer is accessible. For the EPSON Omnilink printer, the serial number of the printer.
- Display / Scanner: If the devices are connected to the printer, they must be activated.
- + Insert new cash register: Click to add a new receipt printer.
- Configure scanner: If your scanner is connected to your computer via USB, select your scanner model and adjust the beep volume.
- Cash register hardware: Visit our hardware shop to purchase accessories such as receipt printers, scanners, cash drawers, and more that can be connected to the web register.
Instructions for setting up and configuring the EPSON Omnilink receipt printer can be found here.
Cash register user / login
Where: “Administration” → “Web cash register” → “Cash register user/login”
Here you can view your register users and create a new register user. You can also log in directly with a register user in the register interface.
-
Add new cash register user: Create a new register user here.
-
User: This is the login name of the register user.
-
Status: Indicates whether the register user is currently logged in or if they have locked the register.
-
Edit: Edit the register user.
-
Last transactions: Return to the evaluation page. The register user is pre-selected as a display filter, so you only see the sales of this register user.
-
Reset pin: In the web register, register users can define a PIN under “Settings” → “Change PIN” that must be entered to unlock the locked register. Clicking “Reset PIN” deletes this personal PIN. This is useful if the PIN is forgotten and a new PIN needs to be set. The user or admin must log in to the web register with the user in the administration to define a new PIN without entering the old PIN. (If no PIN is defined for the register user, they cannot unlock the register.)
-
Loggin in: Log in directly with a register user and switch to the register interface without entering a username and password.
Layout
Where: “Administration” → “Web cash register” → “Web cash register configuration” → “Layout”
Here you can customize the layout of your register interface. We explain the individual points:
- Logo: Under “Logo” → “Select File”, choose your logo to replace the PepperShop logo in the register interface (see image, number 1).
- Main Color: Customize the primary color of the register interface. The image below shows which elements have the primary color, those with the color at number 2 (default blue). Click the color field to choose a color with the mouse or enter the color code.
- Secondary Color: Customize the secondary color of the register interface. The image below shows which elements have the secondary color, those with the color at number 3 (default gray). Click the color field to choose a color with the mouse or enter the color code.
