Administration web cash register
Introduction
This guide provides detailed information on the configurations you can make in the administration section under “Web cash register”.
Evaluation page
In the shop administration section under “Web cash register”, you will find an overview of your sales and can make your daily closings.
Display filter
Here you can filter your sales by time period and employee/cash register user. If you do not set a filter, the sales since the last daily closing and all employees will be displayed automatically.
Daily closing
Here you can perform a daily closing. You can select the date up to which the daily closing should be performed. To do this, proceed as follows:
- Select the date up to which the daily closing should be carried out.
- Click on “Close”.
- A message appears: “All orders since the last daily closing will be marked as closed and can no longer be changed."
- If you agree, click “OK”.
Last daily closings
Here you can view the last daily closings. Simply click on the date of the desired daily closing. If you click on the statistics icon, you will be taken to the detailed evaluation and can analyse your daily closings in even greater detail.
Sales
Here you can see the latest sales since the last daily closing. If you have set a display filter, all sales in this period will be displayed. You can print your selection or export it as a table. To do this, click on the printer or table icon. If you click on the eye icon, you can view the details of the purchase.
Closing
Here you can see which payment methods were used, how much each payment method brought in and how much was taken in total. Either since the last daily closing or, if you have set a display filter, in the selected period.
Configuration
In the shop administration under “Web cash register” → “Web cash register configuration”, you can make a variety of configurations to the web cash register. If you make any changes, don’t forget to save them at the bottom. To see the changes in the web cash register, you must reload the cash register.
General configuration
We will explain the individual settings:
-
Web checkout activation: Check the box here. This is required if you want to enable/disable the checkout as a webshop module.
-
Payment methods:
-
Cash payment: Here you can activate or deactivate the “Cash payment” payment method in the web checkout.
-
Payment terminal directly connected to PepperShop: If your payment terminal is directly connected to PepperShop, you do not need to select anything here. PepperShop automatically recognises which payment method was used via the terminal.
-
No payment terminal or payment terminal not connected: If you use a payment terminal but it is not connected to PepperShop, or if you use a Twint code, for example, you can select your offered payment methods here. This allows you to manually select the customer’s payment method in the web checkout and confirm the payment. This way, you can keep track of all payments and payment methods.
-
Payment by invoice: To enable a customer for “payment by invoice”, click on “Customers/Orders” → “Customer management” in the administration area and edit the desired customer. Select “Yes” under “Invoice delivery”. The payment method will automatically appear in the web checkout when the customer is logged in.
-
Products: Allow overbooking of stock: Only relevant if stock management is activated (“Products” → “Stock management” → “Stock management” enabled)
-
If deactivated (no check mark): Products with a stock quantity of 0 are not displayed in the checkout. If the number of Products in the checkout exceeds the stock quantity, an error message pops up.
-
If enabled (checkbox selected): Products with a stock quantity of 0 are displayed in the checkout. If more Products are sold than the stock quantity, the stock quantity goes into negative territory.
-
Products: Take active from - to into account: In item management, you can assign an end date to an item. In the online shop, this item will no longer be displayed after the date has expired. In the web checkout, the Products are still displayed by default despite the expiry of this date. If this box is activated, the active from-to data is taken into account and the Products are no longer displayed.
-
Products: Sorting method: Here you can choose between sorting by item name and item number.
-
Convert repayment into basic currency: If a customer wants to pay in a foreign currency, the change is displayed in the base currency.
-
Standard article display: Choose whether Products are displayed in the web checkout in a single column (as a list, individually one below the other) or in multiple columns (as tiles). This can also be changed in the web checkout itself at the top centre of the list/tile icon.
-
Display change after sale: Should the amount of change be displayed after the sale?
-
Allow deletion of sales: Sales can be deleted.
-
Allow returns in general: With this check box, the daily closing can be carried out directly from the web checkout.
-
Number of articles per page: How many Products should be displayed per page in the cash register?
-
Show favourites: Should favourites be displayed?
-
Allow login with PIN: Cash register users can log in via PIN.
-
Show representation on paused purchases: Should the cash register user substitute be displayed for paused purchases?
-
Manually changed prices are final: If the price has been changed manually in the cash register, no line discounts etc. will be applied.
-
Highlight line if price is 0: If an item has a price of 0, it will be highlighted in colour.
-
Show favourites: Show favourites at the top as a tab and show or hide them with the Products.
-
Display article details: You can show or hide the item details (i icon).
-
Show blocked customers: Disabled: Blocked customers are not displayed. Enabled: Blocked customers are displayed with the note “BLOCKED”. If the customer is selected anyway, another note appears. (The purchase can still be made despite being blocked.)
-
Display date and time: If this option is enabled, the date and time are displayed in the grey bar above the order list.
-
Show daily turnover: If this box is checked, the daily turnover and number of sales are displayed in the cash register view under “Settings”.
-
Pre-printed voucher Products: Vouchers of the type “Credit note” can be loaded with any amount using this item.
-
Master PIN: If Master PIN is selected, it must be entered for credit notes and cancellations.
-
ELO mode: If this mode is activated, optimisations are made specifically for ELO touch devices.
-
Email to customer: If the customer’s email address is stored, they will receive a confirmation email after a successful purchase.
-
CC to substitute salesperson: The cashier receives a confirmation email for every sale.
-
Only send if no paper receipt is desired: Only if printing of a paper receipt is declined (“Should a receipt be printed?” → “No”) will a purchase confirmation be sent by email.
-
Request missing email: If no email address is stored, the pop-up “To which email address should the receipt be sent?" appears and you can enter the customer’s email address.
Shopping cart buttons
Here you can define which two actions the two buttons on the left at the bottom right of the web checkout should have. All actions that are not selected can still be used via the “More” button. It makes sense to assign the buttons to the actions that you use most regularly so that you can always execute them quickly.
Explanation of actions
- Reset order: Delete shopping cart contents.
- Discount: Apply discount to entire shopping cart.
- Free position: Free positions are Products that have not (yet) been entered and can therefore be sold directly without being entered in the administration.
- Change: Display the last change amount.
- Print shopping cart contents: The shopping cart contents are summarised in a PDF.
- Voucher: Redeem voucher.
- Paused purchases: Display the paused purchases.
- Cash drawer: Opens the cash drawer if it is connected to PepperShop.
- Lock cash register: The cash register is locked and a PIN code must be entered for reuse, or the cash register user must log in again.
- Print last receipt: The receipt for the last purchase is printed.
Cash register receipt configuration
Here you can customise the cash register receipt. We explain the individual configuration options:
- Always enable SSL: This box should be checked if the printer certificate is installed.
- Logo on cash register receipt: Here you can upload your own logo for the cash register receipt. To do this, click on “Select file” and select your logo.
- Customer on receipt: If you are logged in to the cash register as a customer, this can be displayed on the receipt.
- Receipt code: A code can be automatically added to the receipt to help the salesperson identify the purchase. Here you can choose between QR code, barcode or no code. This function is only available with an EPSON printer. If you have a different printer or no printer, select “None”.
- Closing text on cash register receipt: You can manually customise the text “Thank you for your purchase…" on the receipt.
- Cashier on receipt: Here you can set whether and how the cash register user should be displayed on the receipt and you can customise the text.
- Signature field for negative amounts on receipt: If there are negative amounts, these are supplemented with a signature field.
- Management of A4 PDF print cash register receipt: Here you can store a template for printing the cash register receipt via an A4 printer.
Cash register management
Here you can manage your cash register hardware, in particular your receipt printer. We explain the individual configuration points:
-
Name: A meaningful name helps when selecting the printer in the cash register interface, especially if there are several cash register locations.
-
Output via: Here you select the type of printer/print format. You can choose between A4 PDF print, 78 mm PDF print, Epson receipt printer or PayTec terminal.
-
Printer identification: The IP address via which the printer can be accessed. For EPSON Omnilink printers, this is the serial number of the printer.
-
Display / Scanner: If the devices are connected to the printer, they must still be activated.
-
Add new cash register: Click to add a new receipt printer.
-
Configure scanner: If you have connected your scanner to your computer via USB, you can select your scanner model and the volume of the beep here.
-
Cash register hardware: Here you can switch to our hardware shop, where you can buy cash register accessories such as receipt printers, scanners, cash drawers and much more that can be connected to the web cash register. Instructions for setting up and configuring the EPSON Omnilink receipt printer can be found here.
Cash register users/login
Where: “Administration” → “Web cash register → “Cash register users/login”
In the shop administration under “Web cash register” → “Cash register users/login”, you can see your cash register users and create a new cash register user. You can also log in directly with a cash register user in the cash register interface here.
- Add new cash register user: Here you can create a new cash register user.
- User: This is the login name of the cash register user.
- Status: This indicates, for example, whether the cash register user is currently logged in or whether they have locked the cash register.
- Edit: Here you can edit the cash register user.
- Last transactions: This takes you back to the evaluation page. The cash register user is already selected as a display filter, so you only see the sales of this cash register user.
- Reset PIN: In the web cash register, cash register users can define a PIN under “Settings” → “Change PIN” that must be entered when the locked cash register is to be unlocked. If you click on “Reset PIN” here, this personal PIN will be deleted. This is particularly useful if the PIN has been forgotten and a new PIN needs to be set. To do this, the user or administrator must log in to the administration with the user in the web cash register and can define a new PIN without having to enter the old PIN. (If no PIN has been defined for the cash register user, they cannot unlock the cash register.)
- Log in: Here you can log in directly with a cash register user and switch to the cash register interface without having to enter a user name and password.
Layout
Under “Web cash register → “Web cash register configuration” → “Layout” in the shop administration, you can customise the layout of your cash register interface. We will explain the individual points:
- Logo: Under “Logo” → “Select file”, you can select your logo and replace the PepperShop logo in the cash register interface.
- Main colour: Customise the main colour of the cash register interface. If you click on the colour field, you can select a colour with the mouse or enter the colour code of the desired colour.
- Secondary colour: Adjust the secondary colour of the checkout interface. When you click on the colour field, you can select a colour with the mouse or enter the colour code of the desired colour.
