Introduction

These instructions will tell you everything you need to know to get started quickly with PepperShop POS.

More detailed instructions, if available, are linked to the respective chapters. On the right-hand side you will find a chapter overview where you can jump directly to the desired topic.

Overview PepperShop POS

In this video, we give you a brief overview of the PepperShop POS system. From the administration and operation of the POS interface to the processing of purchases.

Administration

In Administration, you manage and customise your cash register: you enter items, view your most recent purchases, customise the design of the cash register screen and much more.

Login

You will receive an e-mail from us with a link to the administration, user name and password.

By the way, you can also reach the administration if you write “/shop/Admin/” after the URL of your checkout. From “https://tolle-schuhe.peppershoptest.ch/", for example, the administration is “https://tolle-schuhe.peppershoptest.ch/shop/Admin/". Please note that “Admin” is capitalised.

Overview

The administration is structured as follows:

  1. Navigation of the PepperShop administration
  2. Input field to search the navigation
  3. Expand and collapse navigation
  4. Switch to the checkout screen (if you use the online shop + web checkout, you can access the shop via the button)
  5. Help on the current page content
  6. Change language
  7. Live chat with our support (only available in the trial version)

Set language

Where: “Administration” → “Settings” → “Languages “

PepperShop has the following languages in the administration and on the customer side:

  • German
  • English
  • French
  • Italian
  • Romansh

The languages must be installed once. You can then change the language in the administration and on the customer page in the top right-hand corner. You can set the default language for the administration and customer page and activate and deactivate languages individually. You can set which language is selected by default in the cash register interface under “Standard cash register operation”.

Demo assortment

We provide you with a demo assortment so that you can test PepperShop more easily. Sample articles and categories are already included. You can of course edit or delete individual items.

Delete entire demo assortment

If you want to delete the WHOLE demo assortment, proceed as follows:

ATTENTION the deletion can NOT be undone! We recommend that you only delete the demo items when your PepperShop is ready to go live.

“Administration” → “Settings” → “Shop configuration” → “Operations” → “Products” → “Demo assortment clean up”

Create categories

All items must be assigned to at least one category. You can filter by category in the checkout to find the desired items more quickly. To create a new category, proceed as follows:

  1. Start in the administration.
  2. Click on “Categories” in the navigation bar
  3. Click on “New category”.
  4. Fill out the form. Mandatory fields are:
    • “Name”
    • “Category” (→ Where in the order should the category be categorised?)

Create product

To create new product, proceed as follows:

  1. Start in the administration.
  2. Click on “Product” in the navigation bar
  3. Click on “Add product”.
  4. Fill out the form. Mandatory fields are:
    • “Name”
    • “Price”
  5. Click on “Next” at the very bottom.
  6. Assign your article to one or more categories.

Create cash register user

Where: “Administration” → “Web cash register” → “Cash register user/login “

If your cash register is operated by several people, it makes sense to create a separate cash register user with an individual password for each person. This allows you to see which sales have been made by which cashier at any time. You can create a new cash register user under “Web cash register” → “Cash register user/login” → “+ Add new cash register user”.

Switch to the checkout screen

To switch to the checkout screen, click on the shopping basket symbol in the administration. (If you use the PepperShop online shop + web checkout, this button will take you to the online shop). Alternatively, under “Web cash register” → “Cash register user/login”, click on “Logging in” for the desired checkout user.

Our recommendation: Open the checkout screen in a new tab to make it easier to switch back and forth between the checkout screen and administration. If you make a change in the administration, you only need to reload the cash register screen and you will see the changes.

Make a test purchase

Even if you have not yet entered your own articles, you can still make a test purchase. PepperShop provides you with a demo assortment for testing.

  1. Click on the shopping basket symbol in the administration. Or click on “Logging in” under “Web cash register” → “Cash register user/login” for the desired checkout user.
  2. Browse the checkout and add one or more items to the shopping basket.
  3. If you wish, you can add a discount. (Discounts can be applied to the entire purchase or to individual items. Discounts can be entered in per cent or amounts).
  4. If you wish, you can enter a free item. (Free items are items that have not (yet) been entered and that you can sell directly without entering them in the administration).
  5. Click on “Pay”.
  6. Finalise the purchase.
  7. The receipt is opened in a new tab.

View purchases / daily closing

You can view purchases in different ways:

  • First overview: The most recent purchases appear on the start page of the administration, also called Dashboard.

    • Where: Click on the PepperShop logo in the top left-hand corner of the administration screen.
  • Detail view: In Customer Management you have an overview of all purchases and customers and can view purchase details. Various filters help you to find specific purchases or customers more quickly.

    • Where: “Administration” → “Customers / Orders” → “Customer Management “*
  • Sales & daily closing: Here you can filter sales by date and cash register user, see which payment types have brought in how much and can close the day.

    • Where: “Administration” → “Web checkout "

Configuration / individualisation of the web cash register

Where: “Administration” → “Web cash register”

You can configure and customise your cash register in the administration under “Web cash register”. For example, you can customise the look and handling of the checkout screen. Or change the design and content of the till receipt. Or connect your cash register hardware and manage your cash register users.

Modules / Interfaces

You can add additional functions to PepperShop POS at any time with our paid and free modules and interfaces. Here is an overview of our most frequently used POS modules and interfaces:

PDF printing: customised invoices and delivery notes

When you complete a purchase in the PepperShop checkout, a PDF invoice is generated and automatically downloaded by default. With the PDF print module, you can customise the design and content of the invoice. This module is free of charge for users of the PepperShop checkout.

You can find the module by clicking on “Modules” in the navigation bar on the left and then on the “PDF print” tile. A window opens with various setting options. For example, you can upload your own PDF template or define the font size and spacing. You can find out more in our instructions.

It is also possible to reprint invoices. To do this, go to “Customers/Orders” → “Customer management”. Here you will see a PDF icon on the right-hand side of the order. If you click on it, you can download the invoice or a delivery note.

Layaway: Pause purchases

This module allows you to pause purchases, serve other customers in the meantime and then resume the paused purchase. Several purchases can be paused. You can also transfer the purchase to another till. You can test this module free of charge with the demo account. → Order module

Cash balance

With the cash balance module, you can record your cash balance and see the debit balance after the daily closing. If there are differences between the displayed and the actual cash balance, you can correct this with a simple adjustment posting.

Customer card

Use this module to design customised customer cards. By scanning the QR code on the customer card, the corresponding customer for the current shopping basket opens directly in the checkout. This completely eliminates the need to query the customer’s name and perform a manual search.

Vouchers

This module is used to create voucher codes that can be redeemed by the customer during the purchase. A percentage or fixed price discount can be granted. Vouchers can be created for single or multiple use and have a definable validity period. The vouchers can either be used for one order or linked to a specific item. A minimum purchase amount can be specified for each campaign and also for each voucher.

Locations

This module allows you to keep track of your POS hardware and assign the different shops to their different warehouses. You can link your POS hardware such as receipt printers, scanners, terminals, etc. to a specific location and user. Only the assigned cash register hardware is then displayed in the web cash register. Management takes place centrally in an administration centre. You can filter sales by location, assign the cash register hardware and carry out analyses.

ERP interface

You can connect PepperShop with your ERP software (Enterprise Resource Planning software). You can conveniently maintain your data in the ERP system and automatically synchronise it with your PepperShop web checkout. Purchases are automatically forwarded from the web checkout to the ERP system and recorded. With a PepperShop ERP interface, you save time, optimise processes and reduce sources of error.

Costs

Please note that support is only free of charge during the test phase to make it easier for you to get started with PepperShop. After the order has been placed, support services will be charged at a rate of CHF 185 per hour.

The cost of support services is made up of direct contact with you, as well as background work such as clarifications and technical work. If you are unsure about billing, please ask our support staff.
