First steps POS
Introduction
This guide will tell you everything you need to know to get started quickly with PepperShop POS.
More detailed instructions, if available, are linked in the respective chapters. On the right-hand side, you will find a chapter overview where you can jump straight to the topic you want.
Overview of PepperShop POS
This video gives you a brief overview of the PepperShop POS system. From administration and operating the POS interface to processing purchases.
Administration
In Administration, you can manage and customise your cash register: you can enter items, view your latest sales, customise the design of the cash register interface and much more.
You will receive an email from us with a link to Administration, your user name and password.
You can also access Administration by adding “/shop/Admin/” to the end of your cash register URL. For example, the administration page for “https://tolle-schuhe.peppershoptest.ch/" is “https://tolle-schuhe.peppershoptest.ch/shop/Admin/". Please note the capitalisation of “Admin”.
Overview
The administration is structured as follows:
- Navigation of the PepperShop administration
- Input field to search the navigation
- Expand and collapse navigation
- Switch to the customer page
- Help for the current page content
- Change language
Set language
PepperShop offers the following languages in the administration and on the customer page:
- German
- English
- French
- Italian
- Romansh
The languages must be installed once. This can be done in the shop administration under “Settings” → “Languages”. You can then change the language in the top right corner of the administration and customer pages. You can set the default language for the administration and customer pages and activate and deactivate individual languages. Under “Display of the language selection menu”, you can set how the language selection should appear on the customer side.
Demo product range
We provide a demo product range so that you can test PepperShop more easily. Sample articles and categories are already included. You can, of course, edit or delete individual articles.
Delete entire demo product range
If you want to delete the ENTIRE demo product range, proceed as follows:
ATTENTION: this deletion cannot be undone! We recommend that you only delete the demo items once your PepperShop is ready to go live.
“Administration” → “Settings” → “Shop configuration” → “Operations” → “Items” → “Clean up demo assortment”
Create categories
All items must be assigned to at least one category. In the checkout, you can filter by category to find the items you want more quickly. To create a new category, proceed as follows:
- Start in the shop administration.
- Click on “Categories” in the navigation bar.
- Click on “New”.
- Use the arrows to select where the category should be placed.
- Fill out the form. The category name is a mandatory field.
You can find more information on the topic of “Categories” here.
Create articles
To create new articles, proceed as follows:
- Start in the shop administration.
- Click on “Assortment” → “Products” in the navigation bar.
- Click on “New”.
- Fill out the form. The following fields are mandatory:
- “Name”
- “Price”
- In the “Category assignment” field, select the category to which the article should be assigned. It is also possible to assign multiple categories to each article.
Further information on the topic “Creating/editing articles” can be found here.
Creating cash register users
If your cash register is operated by several people, it makes sense to create a separate cash register user with an individual password for each person. This allows you to see at any time which sales were made by which cashier. You can create a new cash register user under “Web cash register” → “Cash register users/login” → " Add new cash register user”.
Switch to the cash register interface
To switch to the cash register interface, click on the shopping cart icon in the administration area. (If you are using PepperShop Online Shop + Web Cash Register, this button will take you to the online shop.) Alternatively, click on “Web Cash Register” → “Cash Register Users/Login” and then on “Login” for the desired cash register user.
Our recommendation: Open the cash register interface in a new tab. This makes it easier to switch back and forth between the cash register interface and the administration. If you make a change in the administration, you only need to reload the cash register interface to see the changes.
Cash register interface overview
In this video section, we explain the cash register interface with most of its functions. Scroll forward to minute 3 and 40 seconds.
Make a test purchase
Even if you have not yet entered any items, you can make a test purchase. PepperShop provides a demo product range for you to test.
- Click on the shopping cart icon in the administration. Or click on “Web cash register” → “Checkout users/login” and then on “Log in” for the desired checkout user.
- Browse the checkout and add one or more items to the shopping cart.
- If you wish, you can add a discount. (Discounts can be applied to the entire purchase or to individual items. Discounts can be entered as percentages or amounts.)
- If you wish, you can enter a free item. (Free items are items that have not (yet) been entered and can therefore be sold directly without being entered in the administration.
- Click on “Pay”.
- Complete the purchase.
- The receipt will open in a new tab.
View purchases / daily closing
You can view purchases in various ways:
- The most recent purchases appear on the start page of the shop administration, also known as the “Dashboard”.
- You can find the “Dashboard” by clicking on the PepperShop logo in the top left corner.
- You can find all sales under “Customers/Orders” → “Orders”.
- In the shop administration under “Web cash register” → “Sales and daily closing”, you can filter sales by date and cash register user. There you can also see which payment methods have generated how much revenue and you can perform the daily closing.
You can find out more about “Daily closing” here.
Configuration/customisation of the web cash register
You can configure and customise your cash register in the administration under “Web cash register”. For example, you can customise the appearance and operation of the cash register interface, change the design and content of the cash register receipt, connect your cash register hardware and manage your cash register users.
Instructions for the entire “Webkasse” administration area can be found here.
Modules / Interfaces
With our paid and free modules and interfaces, you can add additional functions to PepperShop POS at any time. Here is an overview of our most frequently used POS modules and interfaces:
PDF printing: Customised invoices and delivery notes
When you complete a purchase in the PepperShop checkout, a PDF invoice is generated and automatically downloaded by default. With the PDF printing module, you can customise the design and content of the invoice. This module is free for users of the PepperShop web checkout.
You can find the module by clicking on “Modules” in the navigation bar on the left and then on the “PDF printing” tile. A window with various settings options will open. For example, you can upload your own PDF template or define font size and spacing. You can find out more in our instructions.
It is also possible to reprint invoices. To do this, go to “Customers/Orders” → “Orders”. Here you will see a PDF icon on the right-hand side of the order. If you click on it, you can download the invoice or a delivery note.
Layaway: Pause purchases
With this module, you can pause purchases, serve other customers in the meantime and then resume the paused purchase later. Multiple purchases can be paused. You can also transfer the purchase to another cash register. You can test this module for free with the demo account.
Cash register balance
With the cash register balance module, you can record your cash balance and see the target balance after closing the day. If there are differences between the displayed and actual cash balance, you can correct this with a simple correction entry.
Customer card
Design customised customer cards with this module. Scanning the QR code on the customer card opens the corresponding customer for the current shopping basket directly in the cash register. This completely eliminates the need to query the customer’s name and search manually.
Vouchers
With this module, you can create voucher codes that customers can redeem during the purchase process. You can offer a percentage or fixed price discount. Vouchers can be created for single or multiple use and have a definable validity period. Vouchers can either be used for an order or linked to a specific item. A minimum purchase amount can be specified per campaign and per voucher.
Locations
This module allows you to keep track of your cash register hardware and assign different warehouses to different branches. You can link your cash register hardware, such as receipt printers, scanners, terminals, etc., to a specific location and user. Only the assigned cash register hardware is then displayed in the web cash register. Management takes place centrally in an administration area. You can filter sales by location, assign cash register hardware and carry out evaluations.
ERP interface
You can connect PepperShop to your ERP software (enterprise resource planning software). This allows you to conveniently maintain your data in the ERP system and automatically synchronise it with your PepperShop web cash register. Purchases are automatically forwarded from the web checkout to the ERP system and recorded. With a PepperShop ERP interface, you save time, optimise processes and reduce sources of error.
We offer interfaces to the following ERP systems: → Overview of ERP interfaces
